PULSE Sports Management ("PULSE", "we", "us", or "our") is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our platform, website, and related services.
We collect information you provide directly when creating an account or using our services, including your name, email address, phone number, date of birth, and payment details. For club members managed through the platform, organisations may also store medical information, emergency contacts, safeguarding records, and attendance data on your behalf.
We use your personal information to provide and maintain our services, process payments and subscriptions, send transactional communications (such as booking confirmations and invoices), improve our platform through aggregated analytics, and comply with legal obligations including safeguarding and child protection requirements.
We do not sell your personal information. We share data only with payment processors (Stripe) to handle transactions, cloud infrastructure providers to host our services, and your sports club organisation as the data controller for member records. All third-party processors are contractually bound to handle data in accordance with UK GDPR.
We retain your personal data for as long as your account is active or as needed to provide services. Club member data is retained in accordance with each organisation's data retention policy. Financial records are retained for a minimum of six years to comply with HMRC requirements. You may request deletion of your data at any time, subject to legal retention obligations.
You have the right to access, rectify, or erase your personal data, restrict or object to processing, receive your data in a portable format, and withdraw consent at any time. To exercise these rights, contact your club administrator or email us at privacy@pulsesports.io. We will respond to all requests within 30 days.
Our platform is used to manage youth sports programmes. We process children's data only on the lawful basis of legitimate interest or parental consent as provided through the club. Parents and guardians may request access to or deletion of their child's data at any time through their club or by contacting us directly.
We implement industry-standard security measures including encryption in transit (TLS 1.3), encryption at rest, role-based access controls, and regular security audits. While no system is completely secure, we take reasonable steps to protect your data from unauthorised access, alteration, or destruction.
We may update this Privacy Policy from time to time. We will notify registered users of material changes by email. Continued use of the platform after changes constitutes acceptance of the updated policy.
